1. Acceptance of these terms
These Terms of Use govern access to and use of the GoDental CRM platform, its website, and related services (the “Service”), operated by GoDental (“we”, “us”).
By creating an account, signing in, or using the Service you agree to these terms. If you are accepting on behalf of a clinic or company, you confirm that you have authority to bind it, and “you” refers to that organization.
2. The Service
GoDental provides software for dental practice management and patient communication, including scheduling, patient records, forms, messaging across email, SMS, WhatsApp and voice, campaigns, reminders, and reporting.
We may add, change, or remove features to improve the product. If a change materially reduces a feature you rely on, we will give account administrators reasonable notice.
3. Accounts and access
- You must provide accurate registration information and keep it up to date.
- Each user must have their own account; credentials may not be shared.
- You are responsible for everything done under your account, including by users you invite.
- Account administrators control the roles and permissions of their team and must revoke access when someone leaves the clinic.
- Tell us immediately at legal@godentalcrm.com if you suspect unauthorized access.
4. Acceptable use
You agree not to use the Service to:
- Send unsolicited messages, or contact people who have opted out or never consented to be contacted.
- Upload unlawful, infringing, or malicious content, or content you have no right to process.
- Attempt to access another clinic's data, probe or bypass security controls, or disrupt the Service.
- Reverse engineer, resell, or sublicense the Service except as permitted by your agreement with us.
- Use the Service in a way that violates healthcare, privacy, telecommunications, or anti-spam rules that apply to your practice.
We may suspend or limit an account that puts the Service, our providers, or other users at risk, and will restore access as soon as the issue is resolved.
5. Your data and content
You keep all rights to the data you enter or sync into the Service, including your patient records. You grant us the limited rights needed to host, process, and transmit that data in order to deliver the Service.
You are responsible for the accuracy and lawfulness of that data, for obtaining any consent your jurisdiction requires before contacting patients, and for the content of the messages sent from your account.
Our handling of personal data is described in the Privacy Policy, which forms part of these terms.
6. Messaging and third-party providers
Messages and calls are delivered through third-party providers, and their availability, delivery times, and policies are outside our control. Delivery is never guaranteed.
Where a channel requires approval from a provider (for example WhatsApp templates or a verified sender), you must comply with that provider's rules; failure to do so can suspend the channel independently of your GoDental account.
7. Subscriptions and billing
- The Service is provided on a subscription basis under the plan selected by your organization.
- Fees are charged in advance for each billing period and, unless stated otherwise, are non-refundable.
- Usage-based charges, such as message or call volume above the plan allowance, are billed in arrears.
- Subscriptions renew automatically until cancelled; cancellation takes effect at the end of the current period.
- We may suspend access for overdue payments after notifying the account administrator.
8. Intellectual property
The Service, including its software, interfaces, and branding, belongs to GoDental and its licensors. These terms grant you a limited, non-exclusive, non-transferable right to use the Service during your subscription, and nothing more.
Feedback you send us may be used to improve the product without obligation to you.
9. Availability and support
We work to keep the Service available and performant, but it may be interrupted by maintenance, provider failures, or events beyond our control. Planned maintenance is announced in advance whenever possible.
Support is provided through the channels described in your plan.
10. Disclaimers and liability
The Service is provided “as is” and “as available” to the extent permitted by law. It is a management and communication tool and does not provide clinical, legal, or compliance advice; clinical decisions remain yours.
To the extent permitted by law, our aggregate liability arising out of the Service is limited to the amounts paid by you in the twelve months before the event giving rise to the claim, and we are not liable for indirect or consequential damages, including lost profits or lost data.
11. Termination
You may stop using the Service and cancel your subscription at any time. We may terminate or suspend access for a material breach of these terms that is not cured after notice.
After termination you may request an export of your data within the window stated in your agreement; afterwards the data is deleted or anonymized as described in the Privacy Policy.
12. Changes to these terms
We may update these terms as the product and the applicable rules evolve. The date at the top reflects the current version, and we will notify account administrators of material changes before they take effect. Continuing to use the Service after that means you accept the updated terms.
