Privacy Policy

How GoDental CRM collects, uses, and protects information — for clinics that use the platform and for the patients whose records they keep in it.

1. Overview

GoDental CRM (“GoDental”, “we”, “us”) provides practice management and patient communication software for dental clinics. This policy explains what information we collect, how we use it, and the choices you have.

It applies to our website, the web application, and any related service that links to this page. The rules for using the platform are set out separately in our Terms of Use.

2. Information we collect

We collect only what is needed to operate the service:

  • Account data — name, email address, phone number, role, and the clinic or company you belong to.
  • Clinic data — practice details, locations, operatories, providers, schedules, and configuration you enter in the platform.
  • Patient data — records your clinic stores or syncs into the platform, such as contact details, appointments, procedures, forms, and message history.
  • Communication data — the content and metadata of emails, SMS, WhatsApp messages, and calls sent or received through the platform.
  • Usage data — log records, device and browser information, IP address, and actions performed in the application, used for security and troubleshooting.

3. How we use information

  • Provide, maintain, and secure the platform and its features.
  • Authenticate users and enforce access permissions within a clinic.
  • Send transactional messages on behalf of your clinic, such as appointment reminders and campaign messages you configure.
  • Support you when you contact us, and investigate incidents or abuse.
  • Improve reliability and performance through aggregated, non-identifying analytics.
  • Comply with legal obligations and enforce our terms.

We do not sell personal data, and we do not use patient data to train models or for advertising.

4. Patient data and our role

For data about your patients, your clinic is the controller and GoDental acts as a processor: we handle that data on your instructions and only to deliver the service you have contracted.

Your clinic remains responsible for obtaining the consents required in your jurisdiction, for the accuracy of the records it uploads or syncs, and for responding to patient requests. We assist with those requests when you ask us to.

5. Sharing and third-party services

We share information only with service providers that make the platform work, and only to the extent required for them to perform their function. These include infrastructure and hosting providers, messaging and telephony providers used to deliver your communications, and payment processors for billing.

We may also disclose information when required by law, to protect our rights or the safety of users, or as part of a corporate transaction, in which case this policy continues to apply to the transferred data.

6. Data retention

We retain data for as long as your account is active and for the period needed to comply with legal, accounting, and audit obligations. When an account is closed, data is deleted or anonymized within a reasonable period, except where retention is legally required. Backups are rotated on a fixed schedule.

7. Security

We use encryption in transit, role-based access control, tenant isolation between clinics, and audit logging of sensitive operations. Access to production data by our staff is restricted and logged.

No system is perfectly secure. If we become aware of a breach affecting your data, we will notify you without undue delay and provide the information needed for you to meet your own reporting duties.

8. Your rights

Depending on where you live, you may have the right to access, correct, export, restrict, or delete your personal data, to object to certain processing, and to withdraw consent at any time.

To exercise any of these rights, write to privacy@godentalcrm.com. If you are a patient of a clinic that uses GoDental, contact the clinic first — they control your records and we will support them in responding.

9. Cookies

We use cookies and local storage for the following purposes:

  • Essential — keeping you signed in, protecting sessions, and remembering the clinic you are working in. These cannot be disabled without breaking the application.
  • Preferences — remembering interface choices such as the selected view or list filters.
  • Analytics — understanding aggregate usage so we can improve the product. These do not identify you individually.

You can clear or block cookies through your browser settings, but essential cookies are required to sign in.

10. International transfers

The platform is operated from data centers that may be located outside your country. When data is transferred internationally, we rely on recognized safeguards and require our providers to offer an equivalent level of protection.

11. Changes to this policy

We may update this policy as the product and the applicable rules evolve. The date at the top always reflects the current version, and we will notify account administrators of material changes before they take effect.
